This is the first time I have tried to document the website processes, so please bare with me here.  All journeys start with the first step.  Rambles-r-us!!  ROTFLMAO!!

No sweat on the shift work thing.  We’ll do what we can when we can.  Anything you edit, first do a ‘Save As...’ in same folder and make a backup copy of original file.  Naming backup file like this maybe?   http://www.londoncentral.org/classreps/78co/78email_copy_10-16-04_madmblue.htm   looking in the folder in FP you can see date & who last modified file, also comments left (comments are in files properties).  Don’t worry about mistakes, just email me a link to error page or leave a note in the ‘to_do_folder’ and I'll reset the backup page, no real harm done.  Cool ahoy!  Please do not make any directory changes or structural stuff.  Let me know what changes you need and I'll make them or walk you through the process.  Some of these things have to be done a certain way or FP can’t or doesn’t keep everything linked properly.  Check out ‘Reports’, it will take a few minutes to load, it shows all, like 21,816 internal links, 10,151 images.  There is a ‘Component errors’ summary that can be helpful.  Use the ‘Uncompleted tasks’ summary to let me know where you left off at or how ever it might be useful to you.  I'll start doing the same thing too.

Ok, here we go; new & updated emails process, it has the most moving parts of all the processes. LOL: 

            1)- Check ‘addmetolist’ form log page for new entries.  I try to do this at least once a week but I'm not always able to these days.  Oh ya, the ‘addmetolist’ form pages consist two pages.  The form page   http://www.londoncentral.org/thelist.htm   and it’s log page   http://www.londoncentral.org/addmetolist/addmetolist.html   .  All form pages have a log page.  The log page is not always in the same folder.  It is very important to leave the “Form Results Inserted Here” on the log page at the top with space below and then the line bar.

            2)- Add new & updated entries to ‘master database’ (lcdir_10-02-04.xls {I try to rename master database once a month and keep two previous months in backup} ).  After losing stuff a time or two, I am very backup driven now.  You can email me the new & updated entries and I’ll add them to the master database. >>>> It says, "Snipped here and moved for archive".<<<<  as you noted, I do not remove the entry, I just move the ‘construction marker’ up and change the date.  I do this to make the log load faster.  The whole ‘addmetolist’ thing is 2MB+ now.  All the ‘addmetolist’ logs are in the ‘addmetolist’ folder.  As you can see, it is not that difficult, just time consuming.  ROTFLMAO ...

            3)- Add new or updated Addys to the class email pages.  I work off the ‘master database’.

Does it do that automatically? <<<< I do most of this stuff manually.  If you notice I try to use highlight New & updated posts are italicized.”  So before new & updated info is added I remove all the old highlights and change the update date (10/8/04) to current date, then I add new & updated entries in the highlighted new stuff format.  All this extra junk is my attempt to make it real easy for folks to find and see the new stuff.  A lot of this could be automated I think, just haven’t had the time to learn how.

4)-Then I update new & update entry dates on the Class pages top page, the Alumni List page and the Announcement page.

5)- Then I send them an Invite to Bobcats’ Chat.

5a)- I might have to make you a BCC Moderator for you to be able to do this part.  Hmm, oops, your now a moderator on BCC.   http://groups.yahoo.com/group/bobcatschat/members?group=mod   LOL  I’ll sent you my a copy of my ‘introductory messages’. This is the method I’ve been using to let folks know that we have received and we are posting their new & updated Addys.

I have attached a copy on my ‘master database’.  Can you keep a backup or working copy on your computer too?  The more backups the better.  I'll get back to the master database. 

Chris Smith ’70   chris@glenalpine.com   (server benefactor) has not been able to fix the “Forms” email response to new entries.  Arrrg!  I use to receive email notification that there has been a new entry made in any of the forms (Add Me To List, Class BBS, Guestbook, Memorial, etc.).  Now I have to surf the 60+ manually.  Arrrg!!  Way behind on this one.  After I edit a log I change the new entry stuff font to default font Comic Sans MS to show it has been edited.

Any part of this you can help me with will be very much appreciated.    Also, any changes or improvements you might have let’s hear them.  On going from the old ‘Bobats’ database’   http://londoncentral.org/bcdb.htm   to ‘LondonCentral.org’   http://londoncentral.org   , I’m still merging the old website’s format to the new LC.org format.  Everything was filed by item like photos to photos folder. The new LC.org is by class & person with subfolders under person in their class folder.  Aarrg, I hope that made sense.  LOL  what I’m hoping for is help with the different processes, not delegate them away.  I want this to be fun stuff to do, not an obligation.  We do what we can when we can kind of thing.  The more folks that can help the less we all would have to do.

Hmmm, I had no idea it would take this long.  I figured 30, 40 minutes this morning to do this, HA! ya right!! Hours later in the after noon now.  Hopeful this is a workable start.  Please ask all the questions you need.  I’ll get better at this as we work together.  Check out the to_do_folder.
